SOM Room Reservations and Support

Reservation requests on behalf of the SOM should be made online using the EMS Room Reservation System at https://ems.wayne.edu. This system requires a WSU AccessID (ab1234) and password, If you do not have WSU AccessID but have a legitimate need to reserve a space, please contact the Learning Spaces and Support Office by email at lss@med.wayne.edu or by calling (313) 577-1431.

It is encouraged that all reservations be made through EMS, however, special requests and questions can be made by the Learning Spaces and Support Office by email at lss@med.wayne.edu or by calling (313) 577-1431.

SOM Room Reservations Approval & Confirmation

To ensure your accommodations will be met, we advise that reservation requests be submitted at least 7 days in advance.

Reservation requests will be reviewed in the order they are received. All requests will be managed within 48 hours of the request. EMS Reservations must be made 24 hours before your desired reservation. Last-minute requests and or needs should be directed to the Learning Spaces and Support Office as they may approve exceptions on an individual basis. Last-minute requests should be directed to Scott Nelsen, 313-577-1431, snelsen@med.wayne.edu.

Reservation requests submitted through EMS are simply requests (not confirmed reservations) and may be denied by the Learning Spaces and Support department. The requestor should wait until a reservation confirmation has been received via email before continuing any planning and marketing of the event.

Scheduling Priorities

The scheduling priorities for events in the learning spaces are listed in descending order below:

  1. All medical school curricular activities including lectures, small groups, academic events, exams, and mandatory student meetings scheduled by the Academic & Student Programs Office or the Office of Student Affairs.

  2. Dean's Office special events.

  3. Grand rounds, CME activities, and conferences.

  4. All other School of Medicine activities (including student organizations meetings and non-curricular guest speakers).

  5. Other SOM departments and groups.

  6. Affiliates

Since curricular activities have the highest scheduling priority, before selecting a date for an event or meeting check EMS to discover when the learning spaces are available.


Cancellations

Learning Spaces and Support reserves the right to cancel or adjust any reservation.  In the event of a reservation cancellation or adjustment, all parties will be notified prior to the date of the reservation request.


Housekeeping Expectations

It is the responsibility of the requestor to ensure that the reserved space is left in good condition. Tables and floors should be cleaned.  Furniture should be arranged neatly or as it was found before the event. Individuals or groups will be responsible for any damages to or theft of any SOM property that is determined to have occurred during or as a result of their event.


Lost items

Learning Spaces and Support is not responsible for any items left in the facility or meeting/event spaces after an event has ended.  Any items left in these spaces will be held for 30 days. The requestor that made the original reservation is responsible for retrieving left items.


SOM Room Audiovisual Services & Support

Audiovisual services include the setup, pickup, operation, and maintenance of all types of audiovisual equipment including but not limited to LCD data/video projectors, video players/monitor units, laptop computers, and conferencing phone systems.

University Closure

Reservations in most cases are canceled in the event of a university closure and/or classes are canceled due to weather, natural disaster, or national emergency. Special arrangements and reassignment can be made through the LSS office on a case-by-case basis during university closure periods and holidays.
