SOM Room Reservations
Reservation Requests
Reservation requests on behalf of the SOM should be made online by accessing the EMS Room Reservation System at https://ems.wayne.edu. This system requires a WSU Access ID (ab1234) and password for login, if you don't have a WSU AccessID but have a legitimate need to reserve a space, please contact the Learning Spaces and Support Office by emailing lss@med.wayne.edu or call (313) 577-1431.
It is encouraged that all reservations be made through EMS, however special requests and questions can be made by contacting the Learning Spaces and Support Office emailing lss@med.wayne.edu or call (313) 577-1431.
Reservation Approval & Confirmations
To ensure your accommodations will be met, we advise that reservation requests be submitted at least 7 days in advance.
Reservation requests will be reviewed in the order they are received. All requests will be managed within 48 hours of the request. EMS Reservations must be made 24-hours before your desired reservation request. Last minute needs should be directed to the Learning Spaces and Support Office as they may approve exceptions on an individual basis. Reservation requests submitted through EMS are simply requests (not confirmed reservations) and may be denied by the Learning Spaces and Support department. The requestor should wait until a reservation confirmation has been received via email before continuing any planning and marketing of the event.

Scheduling Priorities
The scheduling priorities for events in the learning spaces are listed in descending order below:
- Curricular activities scheduled by the Academic & Student Program or Office of Student Affairs, including medical school course lectures and events, exams, and mandatory student meetings.
- Dean's Office special events.
- Grand rounds, CME activities, and conferences.
- All other School of Medicine activities (including student organizations meetings and non-curricular guest speakers).
- Other SOM departments and groups.
- Affiliates
Since curricular activities have the highest scheduling priority, before selecting a date for an event or meeting check EMS to discover when the learning spaces are available.
Space Capacities
Max capacities of the reservable SOM spaces can be found in EMS from the room search. If you have additional room capacity questions or would like to get a space recommendation for your activity, you can contact Scott Nelsen, 313-577-1431, snelsen@med.wayne.edu.

Housekeeping Expectations
It is the responsibility of the requestor to ensure that the reserved space is left in good condition. Tables and floors should be cleaned. Furniture should be arranged neatly or as it was found before the event. Individuals or groups will be responsible for any damages to or theft of any SOM property that is determined to have occurred during or as a result of their event.
Cancellations
Learning Spaces and Support reserves the right to cancel or adjust any reservation. In the event of a reservation cancellation or adjustment, all parties will be notified prior to date of reservation request.
University Closure
All events will be cancelled in the event the university is closed and/or classes are cancelled due to weather, natural disaster, or national emergency. Events will not be scheduled to take place anytime the university is closed, including holidays.
Lost items
Learning Spaces and Support is not responsible for any items left in the facility or meeting/event spaces after an event has ended. Any items left in these spaces will be held for 30 days. The requestor that made the original reservation is responsible for retrieving left items.
Storage
Learning Spaces and Support may offer temporary/short term storage for items (including those that are shipped) prior to a meeting or event. If storage is needed, the reserving group must inquire to reserve a space.
